The Activity Schedule in Onsight Pro allows facilities to create, publish, and manage activities such as camps, classes, instruction, events, and youth programs.
Coming from Rock Gym Pro? The feature called Calendar in RGP is called Activity Schedule in Onsight Pro.
Activity Schedule is divided into two main areas:
- Settings → Activity Schedule is used to create categories and reusable activity templates.
- Activity Schedule in the main navigation on the left-side bar is used to view and manage published events, enroll participants, and check customers in.

Before You Begin
Activity Schedule permissions are enabled for the Administrator role by default. Facilities can also create custom roles with Activity Schedule permissions for staff who need more limited access.
If a user cannot see Activity Schedule, Activity Categories, Activity Templates, or publishing options, review their role permissions first.
Set Up Activity Categories and Templates
Activity Categories organize activities into groups such as:
- Camps
- Instruction
- Events
- Youth Programs
Activity templates are reusable blueprints that define the activity name, description, category, available facilities, payment settings, policies, requirements, and activity status.
Activity templates are not displayed on the Activity Schedule until they are published.

Configure Payments and Requirements
Each activity template can be configured for the appropriate payment model:
- Attendee Pays
- Host Pays
- Free
Additional settings may include revenue account mapping, taxes, discounts, waiver requirements, participation policies, and facility-specific requirements.
These settings determine how customers pay and what they must complete before participating.

Publish an Activity
Publishing turns an activity template into one or more scheduled events.
During publishing, staff can select:
- The facility
- Start and end times
- Recurrence settings
- Enrollment capacity
- Internal and public visibility dates
Organizations with multiple locations can publish the same activity at different facilities with separate schedules.

Create a Public Booking Link
Published activities can be included in a public Activity Schedule link. Customers can use the link to browse available events, identify themselves or create a profile, complete requirements, and pay online.
A public link can include one event or multiple event offerings based on the filters selected when the link is created.

Manage Published Events
From the Activity Schedule, staff can manage the full event lifecycle, including:
- Changing start and end times
- Adjusting public visibility
- Updating enrollment capacity
- Closing or reopening enrollment
- Adding or cancelling participants
- Assigning staff members
- Cancelling or deleting events

Enroll Customers at the Facility
Staff can book customers into an event directly from the Activity Schedule. Depending on the activity setup, the enrollment can be funded with an eligible membership, punch card, one-time payment, host payment, or no charge.
Staff can also create a new customer profile during the enrollment process when needed.

Check Participants In
When participants arrive, staff can check in everyone enrolled in the event at once or check in individual customers from the Enrollment Roster.

View Customer Activity History
Customer profiles include a Class & Event History section under Activity. This provides a consolidated record of the customer’s enrollments, bookings, cancellations, waiver status, and check-ins.
Recommended Setup Process
For a smooth initial setup:
- Create broad activity categories.
- Build reusable templates for common offerings.
- Review payment and requirement settings.
- Publish a small number of test events.
- Confirm recurrence, capacity, and visibility settings.
- Test the public booking link in a private browser window.
- Train staff on enrollment, event management, and check-in workflows.
