Create and Share an Online Public Activity Schedule Link

The public Activity Schedule allows customers to browse available activities, select a session, identify themselves or create a profile, complete any required steps, and pay online.

Before sharing the schedule

Confirm that:

  • The activity template is active.
  • The activity has been published.
  • Public visibility is enabled.
  • The public visibility dates include the current date.
  • Pricing, payment methods, policies, and waiver requirements are correct.
  • The session has remaining enrollment capacity.

Create the public schedule link

  1. Go to Activity Schedule from the main navigation on the left-side bar (Calendar Icon).
  2. Use the available filters to find the event or events you want to include. You can filter by activity name, category, date, and other available criteria.
  3. Select Create Public Link.

     
  4. Enter an internal name for the public link. A single public link can include multiple event offerings. 
  5. Add an internal description to help staff identify the purpose of the link. 
  6. Select Create Public Link.

Once the link is created, you can:

  • View the public schedule
  • Copy the URL
  • Delete the public schedule link

To copy the booking link, select the chain-link icon, then select Copy Link. This is the URL you can place on your website or share with customers so they can register and pay online.

Test the link

Before sharing the URL publicly:

  1. Open the link in a private or incognito browser window.
  2. Confirm that the correct facility and activities appear.
  3. Open an activity and verify the date, time, description, price, requirements, and available capacity.
  4. Complete a test booking when appropriate.

Using a private browser window helps confirm what a customer who is not already signed in will see.

Share the link

The public schedule URL can be added to:

  • Your facility website
  • A registration button
  • Email campaigns
  • Social media profiles
  • Digital newsletters
  • QR codes
  • Direct messages to customers

When sharing the link through social media, test it in the platform’s in-app browser as well as in a standard web browser.

What customers experience

From the public schedule, customers can:

  1. Browse available activities when the link includes more than one event offering.
  2. Select an activity and session.
  3. Identify themselves as an existing customer or create a new customer profile.
  4. Select the participant.
  5. Complete any required waivers or policies.
  6. Choose an eligible membership, punch card, or one-time payment option.
  7. Complete the booking.
  8. Receive confirmation that the enrollment was successful.

reCAPTCHA validation is included in the public booking flow to help protect against automated abuse.



Troubleshooting

If an activity does not appear on the public schedule, verify that:

  • The session is published.
  • Public visibility is enabled.
  • The visibility window has started and has not ended.
  • The session has not been cancelled.
  • Enrollment is open.
  • The enrollment cap has not been reached.
  • The correct facility schedule is included in the public link.
