You can create customer records manually in Onsight Pro at any time. In most cases, new customer records are created automatically when a customer submits a liability waiver. Manual creation is most useful when you need a placeholder record before a waiver has been submitted, or when creating a record on behalf of a customer at the front desk.
Before You Start
You can create a new customer from several places in Onsight Pro. The New Customer button appears on the Customers screen, the point-of-sale screen, and other locations throughout the software. Clicking it from any location opens the same form.
Required Fields
Only two fields are required to create a customer record:
Home Facility — the facility this customer belongs to. In a single-facility environment this will be pre-filled based on where you are logged in. In a multi-facility environment you can assign the customer to any linked facility regardless of where you are logged in.
First Name and Last Name
All other fields are optional. It is common to create a minimal record as a placeholder and have the customer fill in the rest when they submit their waiver.
Optional Fields
The new customer form includes additional fields you can fill in at the time of creation. Most are self-explanatory. Two are worth highlighting:
Proficiency Levels
Proficiency levels are used to track certifications such as belay certification or lead climbing certification. In Onsight Pro, this is a multi-select field — a customer can hold more than one proficiency level at the same time.
Your facility controls what proficiency levels are available and what they are named. They can be used for belay certifications or any other classification system your facility uses.
Discount Profiles
If your facility uses custom discount profiles, you can assign one to the customer at the time of creation. Discount profiles control what automatic discounts apply when this customer makes a purchase.
Saving the Record
Once you have filled in the required fields, click Save and Continue. The customer record is created immediately and you can begin adding memberships, payment methods, or other information.
A Note on Duplicate Records
Onsight Pro does not prevent you from creating a customer record that is identical to an existing one. If you create two records with the same name, both will be saved without an error. If you discover duplicate records, use the Merge tool to combine them into a single record.
Migrating from Rock Gym Pro?
Customer creation works similarly to Rock Gym Pro. The main difference is that a Home Facility is now required. In multi-facility environments this gives you more control — you can assign a customer to any linked facility regardless of where you are logged in. The other notable change is that duplicate records no longer throw an error on creation; use the Merge tool to resolve them if they occur.
